This article describes the process of creating a bulk delete job in Dynamics CRM for Usage Summary and Usage Detail records. Azure consumption data in imported into Work 365, has an impact on the database size in Dynamics CRM and this procedure helps keep the database growth in check by deleting records that may no longer be useful. This article describes how to delete the Azure consumption data that is older than 180 days - this number has been chosen to reflect a middle ground between data availability and storage size; however this number can be adjusted as per individual partners' requirements.

Create a bulk delete job 

  1. Open the Work 365 app.
  2. Click on the Settings icon in the top right corner of Dynamics 365 and click "Advanced Settings"
  3. Using the Settings menu in the top navigation bar, select "Data Management"
  4. Click on "Bulk Record Deletion"
  5. Click on "New" to create a new bulk delete job.

Create the bulk delete job for Usage Summary

  1. Create a bulk delete job as described above.
  2. In the "Define Search Criteria" dialog, set the query as show below; noting that 180 days can be adjusted as needed.

     
  3. In the "Search Options" dialog, set the schedule time to a suitable (off peak) time and set the job to run every 30 days. Give the bulk delete job a suitable name.

     
  4. Complete the wizard by following through the next steps.
